Frequently asked questions
Straight answers about how LoyBooks actually works. If something's not covered here, email support@loybooks.com.
Sync & Data Handling
What happens when a refund is issued in Loyverse?
Refunds sync automatically as credit notes in Zoho Books — no manual step required. For hotel folios, the credit note is applied against the guest's open folio; for standard sales, it's applied to the customer record.
What if an item doesn't exist in Zoho Books yet?
For standard sales, LoyBooks automatically creates the item in Zoho Books the first time it appears. For hotel folios, charges post by category (e.g. Food, Drinks, Tours) to the Zoho account you've mapped, rather than by individual item — so nothing needs to be pre-created there either way.
What happens if Zoho Books is temporarily unavailable or API limits are hit?
A receipt is only ever marked as synced after Zoho Books confirms it was received. If a sync attempt fails for any reason, the receipt simply stays unsynced and is automatically retried on the next cycle — nothing is lost or silently skipped.
How often does LoyBooks sync, and can I trigger a sync manually?
You choose the automatic interval — anywhere from every 10 minutes to once a day. You can also click "Run Sync Now" from your dashboard at any time, for example right before a reporting deadline.
Customization & Control
Can I customize which Zoho account each product category posts to?
Yes — the Field Mapping tab lets you route each Loyverse category (Drinks, Food, Bar, etc.) to its own Zoho Books revenue account. Mappings are fetched live from both systems, so new categories you add in Loyverse show up automatically without any code changes.
Can I export a log of everything that's been synced?
Yes — the Logs tab gives you a full, filterable audit trail of every sync, and you can export it to CSV at any time for your own records or an accountant's review.
Setup & Support
How long does setup take, and is support available if I get stuck?
Most businesses are up and running within minutes — connect your Loyverse token, connect Zoho Books with one click, and run your first sync. Support is handled directly by the team building the product, not an outsourced call center, so you're talking to someone who actually knows how the sync works.
What does LoyBooks do that a generic tool like Zapier can't?
Generic automation tools move data field-to-field, but they don't understand hospitality accounting logic out of the box. LoyBooks was built specifically to handle guest folio routing, category-based revenue splitting, automatic refund-to-credit-note conversion, and duplicate prevention — the parts you'd otherwise have to build yourself, receipt by receipt.
